I know I sure could use a day off from 2020! For the first time in a long time, I’m experiencing writers block for this blog, and I just need a little time off from trying to come up with my next topic.

This year has been so eventful, but not in a good way. Therefore, I’ve had plenty to write about, especially on the topic of doing a job search in the middle of a pandemic. But I’m burned out right now.

I love to write, and I’m passionate about sharing my expertise for those who are in need of career help. But for next week’s holiday I’m going to spend some time doing some other things I’m passionate about. And hopefully by the time I return from Thanksgiving, I’ll be refreshed with new topics to help you in your career.

How to Write the Best Thank You Notes for Your Interviews

Update: I failed to clarify early on in the original post that a type written thank you note should be sent via snail mail. Thank you to one of my readers for bringing this to my attention!

This is the month we celebrate thanksgiving. Therefore, it’s only fitting to have a blog post about thank you notes for your job interviews.

I remember my senior year of high school was when I first learned the art and etiquette of writing thank you notes. For each person who gave me a graduation gift, I sent a handwritten thank you note.

I also was a debutante at the time. Every debutante was required to write a thank you note to each hostess of every party thrown for us. There were probably about 25 or more parties over the course of a few months, with about five to ten hostesses for each party. When you do the math, you can guess how much my hand was probably hurting from all that writing.

In fact, I think I spent more time those last few weeks of senior year writing thank you notes, than I did preparing for final exams.

But in recent years, I’ve noticed a significant decline in the practice of writing thank you notes. I have several friends I’ve bought wedding and baby shower gifts for, but I’ve never received a thank you note from them. It doesn’t bother me personally. It just makes me sad how some forms of thanksgiving are dying out.

Thank you notes are a job search strategy

Not only do most people not send thank you notes for gifts anymore, they also don’t send them for job interviews. In fact, when I first started doing career coaching 21 years ago, only 10% of job seekers sent thank you notes following their interviews. And guess what? This statistic hasn’t changed much since then, even though most job seekers know they should send a note.

But when it comes to your job search, you shouldn’t view thank you notes as a formality. Instead, view them as a strategy to further market yourself to the employer, even after the interview is over.

Don’t send handwritten thank you notes

The job seekers who do send thank you notes, often send handwritten ones. And some career coaches will even tell their clients to handwrite them. I don’t recommend this at all for a couple of reasons.

One, this is not a personal friend you’re sending a note to. You’re sending it to a professional business contact. The look and feel of your thank you note should reflect this.

Two, and most importantly, a handwritten note doesn’t give you the space you need to further sell yourself.

A typewritten note, on the other hand, gives you the space and opportunity to reiterate the things you want the employer to remember about you. This is especially important if you’re one of the first people they interview, or if you’re the one who falls in the middle.

A typewritten note also gives you the chance to mention anything you didn’t get the opportunity to discuss in the interview like you’d hoped.

How to format your thank you notes

So how should you format your typewritten thank you note?

You want it to be in the same format as your cover letter, which includes all the necessary pieces of information before the greeting. And remember, your thank you note is actually a business letter, just like your cover letter is. Therefore, you should have a colon after your greeting instead of a comma. A colon after the greeting distinguishes a business letter from a personal letter.

Who to send thank you notes to

Not only should you send a thank you letter to the main person you interview with, you should also send one to everyone from the company who participated in your interview. For example, if you interviewed with a search committee, you should send one to each person on the committee, and not just the chair of the committee.

Slightly edit each letter to personalize it so the reader knows you didn’t just send the same form letter to everyone.

When to send thank you notes

Always send your thank you note within 24 to 48 hours of your job interview.

In the meantime, you can also send a thank you email immediately after the interview. Just always make sure to follow up with a thank you letter via snail mail.

Conclusion

It’s important to show your gratitude for the opportunity of an interview. Doing so will make you stand out from those who don’t.

Even as businesses and offices start to reopen, networking is likely to remain virtual through the fall. Which is why it’s important for you to know how to use LinkedIn effectively, using proper LinkedIn etiquette. This is not how LinkedIn works. First, there are many more things you can do with LinkedIn beyond creating a profile, which is something I spend time teaching my clients. They’re always amazed at the different things I show them because they had no idea the platform could do those things.

Second, there are more things you need to do to build your network on LinkedIn. But, there is an etiquette to it. If you fail to follow proper LinkedIn etiquette, you’ll likely turn off the people you want to connect with most.

LinkedIn etiquette basics

1. Put a face with your name

Before you connect with anyone or ask for an introduction, make sure your profile includes your photo. No one likes to receive a connection request from a faceless stranger.

Make sure it’s a clear picture of you looking professional. The photo doesn’t have to be a professional photo as long as it’s clear and you look professional in it.

2. Don’t go on a connection rampage

If you try to connect with too many people you don’t know at one time, you run the risk of them indicating they don’t know you. If enough people say they don’t know you, LinkedIn will “black ball” you from being able to connect with other people.

At this point, the only way you’re able to connect with anyone on LinkedIn is if you already have their email address. This restriction can last for months or even years.

Only connect with people you know, people you’ve been introduced to by a mutual connection, or people you’ve previously met in another setting.

3. Ask for an introduction

So how do you connect with new people on LinkedIn if you should only connect with people you already know?

LinkedIn used to have a “get introduced” feature which let you choose a mutual friend to request an introduction from, directly from the profile of the person you want to meet.

But, in typical LinkedIn fashion, they changed this functionality after everyone finally got used to the “get introduced” feature, and then of course made it slightly more cumbersome. (Thanks LinkedIn!)

Now, to get introduced, you have to ask your mutual contact to go to your profile, and have them select “share profile via message” from the “more” button.

You’ll probably have to follow up with your connection to make sure he or she has done what you’ve asked them to do.

Always ask a mutual connection you know well, someone you trust to complete the task. And don’t forget to thank them for doing so!

4. Include a personal note

When connecting with someone, always choose the option to include a personal note in your connection request. This is common courtesy, but most people fail to take this extra step.

Your note should be brief, such as reminding the person how you two met. And it should NEVER include anything about asking for a job or asking to “pick their brain“!

5. Don’t spam people

Once your connection request has been accepted, don’t spam your new connection’s LinkedIn inbox. Spamming is one of the biggest complaints people have about LinkedIn.

Make sure you’re private messages are personalized and sincere. Take the time to build a rapport before asking for anything in return. I teach more about this when I discuss informational interviews in my on-demand program, The Secret to Successful Networking.

6. Be a contributor and a resource

Be helpful by contributing and sharing information that’s of interest to the people you’re trying to attract to your profile. This is especially important to do within the various LinkedIn groups.

(You are joining LinkedIn groups, aren’t you???)

Understand the audience within each group, and share links to articles and other information specific to the interests of each group. Avoid posting anything unprofessional or anything irrelevant to the group’s focus.

Also, like, comment, and share other people’s posts within groups. They’ll be more likely to connect with you without an introduction if you show a genuine interest in what they’re posting.

Stay current

As you follow the unspoken rules of LinkedIn etiquette, remember to also pay attention to the frequent changes in LinkedIn’s functionality.

As I stated earlier, it’s typical for LinkedIn to change its functionality much more frequently than other social media platforms do. If you don’t go into LinkedIn and peruse the site on a regular basis, you can easily get lost or confused.

So, always stay current, and always mind your manners!

How to Write Networking Emails That Will Get Responses

I recently had a client who said she wasn’t getting the response to her networking emails she’d hoped for.

She asked me if there was anything she could do to increase her response rate.

I went back and looked at some of the previous emails she’d sent me to see if I noticed any patterns possibly interfering with her networking efforts. In doing so, it was immediately clear how she could improve her response rate.

Tips to Increase Responses to Your Networking Emails

Always include an appropriate subject line.

Emails without an appropriate subject line are often viewed as suspicious.

But sometimes it’s hard to know what the subject line should say to get the recipient to open the message.

One subject line that tends to work well is one including a mutual contact’s name. If someone referred you to the person you’re emailing, include a subject line like, “Referral from [mutual contact’s name].” The reader will immediately know the message isn’t spam or junk mail.

Avoid any spelling errors in the subject line. Misspellings often send the signal the message could be spam or phishing.

Copy your mutual contact.

If you’re emailing someone you’ve been referred to by another contact, copy your mutual contact on your initial message. This adds validity to the relationship and your claim of the referral.

Better yet, ask the person referring you to do an introduction email with all of you copied on it. Or ask them to send their friend an email giving them a heads-up that you’ll soon be reaching out.

Your potential contact is more likely to open an email from their friend they already know than from someone they’ve never heard of.

Keep it cheerful, yet professional.

Avoid writing networking emails when you’re in a bad mood. Sometimes it can come across in your wording, and the tone may be easily misconstrued. It could also make you sound or seem entitled. You definitely won’t get a response then.

And while you always want to be concise, you can also come across as abrupt if you don’t include a friendly greeting or any context as to why you’re emailing the contact.

Frame your message with a friendly opening and closing, but be professional! This means not using any emoticons or exclamation points. In fact, an email with too many exclamation points will usually end up in the recipient’s spam folder.

Be clear but concise.

Make your reason for emailing clear from the start.

If you need to give an explanation for your request, do so as concisely as possible. Avoid anything too lengthy, including background info the reader doesn’t need to know just yet. Save this for when you set up a meeting to connect in person.

People are busy, so make your message easy for them to read quickly. They’ll appreciate you being mindful of their time.

Do NOT use the phrase, “Can I Pick Your Brain?”

Don’t. Ever. Say. This.

Just don’t!

Not ever.

I previously wrote an entire blog post explaining why you should never use the phrase “Can I pick your brain?” If you’re wondering why, stop reading this post right now and go read “Why ‘Can I Pick Your Brain?’ Is the Wrong Approach“!

If it is information you’re wanting from your networking contact, find a better way to phrase your request than, “Can I pick your brain?”

Say thanks, but don’t be too presumptuous.

In your closing, thank the recipient in advance for their time and consideration.

I’ve read studies that claim email response rates increase if you include the simple phrase, “Thanks in advance.” I’ve personally found this to be true on most occasions.

However, you don’t want to sound presumptuous. So to counter-balance this phrase, indicate you’re willingness to follow the recipient’s lead on the next steps.

For instance, you might say, “I’m happy to meet at a mutually convenient time,” or “I can meet you at a location that works best for you.”

You must be flexible since you’re asking for someone’s time.

Give your recipient an out.

I once had someone I’d never met email me wanting to get together for lunch so he could ask me some questions. He said, “Let me know what time next week works best for you.” (He also asked, “Can I pick your brain?”)

I wanted to respond with, “Well, if next week is my only option, the answer is ‘no’.”

Why did he assume I was even able to meet the following week? I immediately felt like he was trying to control the situation for his preference and convenience. Had he just left out the words “next week” (and “Can I pick your brain?”), he would have left a better impression on me.

If you’re asking someone for their time to help you out, don’t be picky with time or location. And don’t try to put constraints on them or try to force them into a “yes” they may not be able to give. Craft your message so it gives the recipient some options, including the option to say “no” if they need to.

Follow up.

It’s okay to follow up with someone if you don’t get a response the first time. Sometimes your message gets lost in their inbox or they forget to respond.

I’ve had situations where I followed up with someone after a few weeks and they actually thanked me for doing so! They simply forgot and were glad I spared them from the embarrassment of never having responded.

The appropriate amount of time to wait before you follow up is one to two weeks. If it happens to be more urgent (which it most likely isn’t), at least give people 24-48 hours to respond.

And when they do, make sure you show the same courtesy by responding within 24 hours to all networking emails.

If after following up you still don’t get a response, move on.

Should You Skip Networking Emails and Just Call?

You always have the option to call instead of sending an email. Keep in mind, however email is less intrusive on people’s workday. It allows people to respond at a time most convenient for them.

If your mutual contact tells you the new contact prefers phone calls, by all means call instead of emailing.

I don’t recommend texting since that’s more personal than professional.

When receiving a response, always return messages with the same method they used in reaching out to you.

Remember to always be courteous and professional in all your networking efforts. Using career etiquette will go a long way!
